Made-to-Order Policy

At Virtua Vibe, each piece is made-to-order especially for you. Because every item is produced after an order is placed, our return, refund, and replacement policy is designed to balance quality, fairness, and the custom nature of our process.

We encourage you to review product details and sizing carefully before placing your order.


Returns

We’re happy to accept eligible returns within 14 days after your order is marked delivered.

We stand behind the quality of our products, and this return policy reflects the confidence we have in every piece we create.

To be considered for return, items must be:

  • unworn
  • unwashed
  • undamaged
  • in their original condition

If you’d like to request a return, please email virtuavibe.store@gmail.com within 14 days of delivery and include:

  • your order number
  • clear photos of the item
  • a brief note about your request

All returns must be reviewed and approved before being sent back.

Please note that items showing signs of wear, washing, alteration, stains, odors, or damage are not eligible for return.

Because we offer complimentary shipping, there are no original shipping charges to refund.

Unless an item arrived damaged, defective, or incorrect, customers are responsible for return shipping costs.


Bulk Purchases

Orders containing 5 items or more are considered bulk purchases and are final sale, unless the items arrive damaged, defective, or incorrect.

This is because larger made-to-order orders involve higher production and fulfillment costs, may not be suitable for resale once processed, and create greater operational risk when produced specifically for a single order.


Damages, Defects, or Incorrect Items

Please inspect your order as soon as it arrives.

If your item arrives damaged, defective, or incorrect, please contact virtuavibe.store@gmail.com within 7 days after delivery and include:

  • your order number
  • clear photos showing the issue

Once verified, we will provide a replacement at no additional cost.

If a replacement is not possible for an eligible claim, a refund may be issued as outlined below.


Exchanges

At this time, we do not offer direct exchanges.

If you would prefer a different size, color, or design, we recommend placing a new order. If your original item qualifies under our return policy, you may request a return separately.


Refunds

Approved refunds are issued to your original payment method once the returned item has been received and inspected.

Refunds may also be issued if an eligible damaged, defective, or incorrect-item claim cannot be resolved with a replacement, or in the event that production or delivery cannot be completed.

If your refund is approved, it will be issued to your original payment method within 10 business days. Depending on your bank or card provider, additional posting time may apply.


European Union & United Kingdom Customers

If your order is shipped to the European Union or United Kingdom, you may have the right under applicable consumer protection laws.

However, these rights may not apply to made-to-order or customized items produced specifically for you upon purchase.

If your item arrives damaged, defective, or incorrect, we will replace the item in accordance with the policy above.
